How attendee registration system pricing works

With SF-CONFERENCE, you pay only for attendees. Creating an event, configuring it, preparing forms, the website and messages are free. A fee applies only when you want to accept registrations, and it depends solely on how many attendees you expect.

Billing works through attendee packets, described in detail below. There is no subscription: no monthly or annual fee, and no fixed account maintenance fees.

Every plan gives you access to all system features. The price does not depend on which modules you use, only on the number of attendees. You will find the full list on the system features page.

How attendee packets work

An attendee packet is a pool of places that all your events draw from. The packet belongs to your organization, and not to a single conference, so places unused at one event carry over to the next. Packets don't expire.

• You order a packet in the organizer panel by entering the number of attendees. You can do the same from within an event by clicking the available attendees counter in the top bar.
• Each registered attendee uses one place from the packet at the moment of registration, whether or not they have paid and whether or not their registration has been accepted. Organizers, administrators and reviewers do not use places unless they are also attendees.
• When you remove an attendee, their place can be taken by another person registering for the same event. The place does not carry over to other events.
• You can buy more packets at any time and in any number. The available places are the total of all your packets minus the places already used.
• When the packet runs out of places, the registration form stops accepting new registrations until you order another packet. The panel warns you in advance if the place limit in the form is higher than the number of available attendees.
• Every new organization gets 5 free places, so you can test registration before you order your first packet.

You pay for the packet by card when you order it, and places from the packet are available once the payment is confirmed.

Price per attendee depending on packet size

The rate per attendee is set by the size of the packet you order. The larger the packet, the lower the rate, and it applies to all attendees in the packet. The packet price is the number of attendees multiplied by the rate from the matching tier. Each order is priced separately, based on its own size.

The prices shown are net prices. VAT at 23% is added to each of them.

How much a conference management system costs - examples

Below are some sample calculations for typical event sizes. These are the same amounts the calculator above shows when you enter the number of attendees.

With a 150-person packet, the rate is the one from the 100 - 199 tier, for all 150 attendees. If you plan several smaller events during the year, you can buy one larger packet and split it between them, benefiting from the lower rate.

Online payments and transaction costs

If you already have a contract with a payment provider, you can connect your own PayU, Przelewy24 or Stripe account. That provider's fees then apply, according to your contract, and you pay them to the provider.

The system also supports traditional bank transfer to your account and cash payment on site. We charge no commission on these payment methods.

Dedicated plan, custom pricing

The Dedicated plan is for organizers with specific requirements the system does not support yet. In that case we add the features you need to the system, according to your needs. The price is set individually, after we agree on the scope of work.

Before choosing this plan, check whether the standard features are enough. Many common needs, such as separate prices for different attendee groups, extra questions in the form or custom message templates, you can handle yourself in the Compact and Professional plans.
